Learner Management

Manage the learners who practice in Rapport Roleplay and choose how they reach your scenarios: invite them to the standalone Learner Portal, or deliver scenarios through your own LMS as SCORM 1.2 packages, with learners added automatically on first launch.

Learners are the people who participate in role plays. They can reach your scenarios in two ways: through the standalone Learner Portal, or through your own learning management system (LMS) using SCORM. This guide covers choosing a delivery channel, adding learners, assigning scenarios, delivering through your LMS, and the Learner Portal experience.

Choosing how learners access scenarios

Before adding learners, decide how they will reach your scenarios. The Delivery Channels section sits at the top of the Learner Management page.

Channel

What it does

Learner Portal

Learners sign in to a dedicated portal to access their assigned scenarios. Enable this to generate a portal URL you can copy or open directly.

LMS / SCORM Integration

Deliver scenarios inside your LMS as SCORM 1.2 packages. Learners don't sign in to Rapport, and they are auto-provisioned on first launch.

💡 Both channels can be active at the same time. Use SCORM for learners who take their training through your LMS, and the Learner Portal for learners you invite directly.

The Learners list

Each learner record includes:

  • Name and email

  • Status: active, invited, or anonymous. Learners who come in through your LMS show as anonymous

  • Registered date: when they joined or were invited

  • Source: how they joined, either through the Learner Portal or via your LMS

Learners from both channels appear in the same list, tagged by Source.

Clicking a learner opens their detail panel, showing their email, status, source, registered date, and the scenarios assigned to them.

ℹ️ The learner detail panel is read-only. To assign scenarios, open the scenario in My Scenarios and use the Assign Learners button.

Adding learners

How a learner is added depends on the channel they use.

Inviting Learner Portal learners

From the Learners list, click Invite Learner and enter the learner's name and email. Rapport sends them an invitation to sign in to the Learner Portal with that email.

Invited learners appear in the list with an invited status until they complete their first sign-in, at which point their status updates to active.

LMS learners are added automatically

You don't invite SCORM learners. The first time a learner launches a Rapport scenario from your LMS, Rapport creates their learner record automatically with Source set to LMS. From then on they appear in the Learners list alongside your Portal learners.

Assigning scenarios to Portal learners

Each Portal learner needs at least one assigned scenario before they have anything to practice. To assign a scenario, open it in My Scenarios and use Assign Learners.

A learner only sees the scenarios assigned to them. Nothing else from your library is visible in their portal.

Delivering scenarios through your LMS (SCORM)

With SCORM, learners practice without leaving your LMS. They launch a Rapport scenario from a course just like any other SCORM content, and never need to sign in to Rapport or use the Learner Portal.

When you create a scenario, Rapport creates a matching SCORM package for it. You download the package from Rapport and upload it to your LMS. How the scenario is then published, and who can access it, is managed in your LMS rather than in Rapport.

Setting up SCORM delivery

  1. Open Learner Management and enable LMS / SCORM Integration in Delivery Channels.

  2. Open the scenario you want to deliver in My Scenarios.

  3. Click Download SCORM (or use the SCORM card on a custom scenario) to download its SCORM 1.2 package.

  4. Upload the package to your LMS in the same way as any other SCORM 1.2 content.

  5. Make the scenario available to your learners using your LMS's own settings.

ℹ️ Rapport delivers SCORM 1.2 packages. Check that your LMS supports SCORM 1.2 before you start.

What happens when a learner launches a scenario

  1. The learner opens the scenario in your LMS, where they see information about it, and launches it.

  2. On first launch, Rapport creates their learner record automatically, with Source set to LMS.

  3. The learner runs the role play with an AI character, with no Rapport sign-in needed.

  4. The attempt is scored automatically on completion.

  5. At the end of the scenario, the learner sees their Performance Report and can download it.

  6. Your LMS records the scenario as completed.

  7. The score is sent to Cohort Analytics, where it appears under the learner's name against that scenario, alongside Learner Portal attempts.

💡 Use the Source column in the Learners list to see which learners came in through your LMS.

The Learner Portal

The Learner Portal is a standalone surface at https://learner-portal.rapport.cloud/, completely separate from the admin area. Learners never see the admin sidebar, other learners' data, or analytics, just their own assigned practice.

💡 You can share the URL directly with your learners. There is no need to walk them through the admin area.

Sign-in flow

Learners sign in using the email address you invited them with, or with Google if they prefer.

First-time sign-in:

  1. Admin invites the learner. Rapport sends an invitation email with an Open Rapport button. The invitation expires in 7 days.

  2. Learner clicks Open Rapport in the invitation email.

  3. The Accept invitation screen opens with their email pre-populated. Learner clicks Continue or Continue with Google.

  4. If continuing with email, the learner enters their first name, surname, and creates a password, then clicks Continue.

  5. A Verify your email screen appears. Rapport sends a 6-digit verification code to the learner's email address. The code expires in 10 minutes.

  6. Learner enters the code in the browser to complete verification.

  7. Learner is signed in and lands in their portal.

ℹ️ On first sign-in the portal will be empty. Scenarios appear once your administrator has assigned them.

Returning sign-in:

  1. Learner opens the portal at https://learner-portal.rapport.cloud/

  2. Learner enters their email or signs in with Google

  3. Learner lands directly in their portal

💡 Password reset is available for learners who sign in with email and password.

What learners see in the portal

Once signed in, the portal is organized around the learner's own practice. Learners never see admin tools, other learners' data, or anything outside their own assigned scenarios.

  • Assigned scenarios: a list of scenarios currently assigned to the learner. Each card shows the scenario name, domain, and skills measured. The learner clicks a scenario to open it and start a new attempt.

  • Attempt history: below the assigned scenarios, a history table lists every attempt the learner has completed, with the score and date for each. (Coming soon)

  • Performance Report: every attempt generates a Performance Report the learner can open from their attempt history. The report contains:

    • Overall Score: a single headline score for the attempt

    • Skill Breakdown: how the learner performed against each skill the scenario targets

    • Key Moments: notable moments from the conversation with feedback attached

A typical Portal session

  1. Learner opens the portal and signs in

  2. Learner picks a scenario from their assigned list

  3. Learner runs the role play with an AI character in the browser

  4. The attempt is scored automatically on completion

  5. Learner opens their Performance Report to review their score, skill breakdown, and key moments

  6. The attempt also appears in Cohort Analytics
