Learners


Learners are the people who participate in role plays — this guide covers adding learners, assigning scenarios, and the standalone Learner Portal experience.

The Learners section

Open Learners and Delivery in the sidebar to see your full roster. Each learner record includes:

  • Name and email

  • Status — active, invited, or anonymous

  • Registered date — when they joined or were invited

  • Source — how they joined: through the Learner Portal directly, or via your LMS

Clicking a learner opens their detail panel, showing their email, status, source, registered date, and the scenarios assigned to them.

Learners and delivery

Before adding learners, decide how they will access your scenarios. The Delivery Channels section sits at the top of the Learners and Delivery page.

Learner Portal

Learners log into a dedicated portal to access their assigned scenarios. Enable this to generate a portal URL you can copy or open directly.

LMS / SCORM Integration

Embed scenarios in your LMS via SCORM. Learners are auto-provisioned on first launch. Available on Enterprise plans.

💡 Both channels can be active at the same time. Use SCORM for learners who access training through your LMS, and the Learner Portal for learners you invite directly.

Adding learners

You can add learners individually with their name and email. Once added, they receive an invitation to sign in to the Learner Portal with that email.

ℹ️ If your organization uses an LMS, learners can also be brought in automatically when they launch a SCORM package. Both sources appear in the same Learners list, tagged by Source. LMS / SCORM Integration is available on Enterprise plans — click Talk to our team to find out more.

Inviting learners

From the Learners section, click Invite Learner and enter the learner's name and email. Rapport sends them an invitation to the Learner Portal.

Invited learners appear in the list with an invited status until they complete their first sign-in, at which point their status updates to active.

Assigning scenarios

Each learner needs at least one assigned scenario before they have anything to practice. Assignment can be done from either side:

  • From My Scenarios — open a scenario and use Assign Learners

  • From the learner's record — open the learner's detail panel and assign scenarios directly

A learner only sees the scenarios assigned to them — nothing else from your library is visible in their portal.

The Learner Portal

The Learner Portal is a standalone surface at https://learner-portal.rapport.cloud/, completely separate from the admin area. Learners never see the admin sidebar, other learners' data, or analytics — just their own assigned practice.

💡 You can share the URL directly with your learners. There is no need to walk them through the admin area.

Sign-in flow

Learners sign in using the email address you invited them with, or with Google if they prefer.

First-time sign-in:

  1. Admin invites the learner — Rapport sends an invitation email with an Open Rapport button. The invitation expires in 7 days.

  2. Learner clicks Open Rapport in the invitation email.

  3. The Accept invitation screen opens with their email pre-populated. Learner clicks Continue or Continue with Google.

  4. If continuing with email — learner enters their first name, surname, and creates a password, then clicks Continue.

  5. A Verify your email screen appears. Rapport sends a 6-digit verification code to the learner's email address. The code expires in 10 minutes.

  6. Learner enters the code in the browser to complete verification.

  7. Learner is signed in and lands in their portal.

ℹ️ On first sign-in the portal will be empty. Scenarios appear once your administrator has assigned them.

Returning sign-in:

  1. Learner opens the portal at https://learner-portal.rapport.cloud/

  2. Learner enters their email or signs in with Google

  3. Learner lands directly in their portal

💡 Password reset is available for learners who sign in with email and password.

What learners see in the portal

Once signed in, the portal is organized around the learner's own practice. Learners never see admin tools, other learners' data, or anything outside their own assigned scenarios.

Assigned scenarios — a list of scenarios currently assigned to the learner. Each card shows the scenario name, domain, and skills measured. The learner clicks a scenario to open it and start a new attempt.

Attempt history — below the assigned scenarios, a history table lists every attempt the learner has completed, with the score and date for each.

Performance Report — every attempt generates a Performance Report the learner can open from their attempt history. The report contains:

  • Overall Score — a single headline score for the attempt

  • Skill Breakdown — how the learner performed against each skill the scenario targets

  • Key Moments — notable moments from the conversation with feedback attached

A typical learner session

  1. Learner opens the portal and signs in

  2. Learner picks a scenario from their assigned list

  3. Learner runs the role play with an AI character in the browser

  4. The attempt is scored automatically on completion

  5. Learner opens their Performance Report to review their score, skill breakdown, and key moments

  6. The attempt also appears in the admin Analytics view
